Red Umbrella delivers specialist mental health training across the UK; MHFA, Qualsafe, Suicide First Aid. High-impact sessions run by real people who care deeply about what they do. 

The business had scaled organically. It worked, but we could see the scope for improvement in our early conversations with the team to enable them to spend more time doing what they were brilliant at, and have the more manual tasks automated.

As the business grew, it became clear they needed smarter systems to match their momentum, the manual processes and limited visibility were holding them back.

    • Sales lived in inboxes. No CRM meant cross-team comms were a challenge.
    • Courses were run through spreadsheets. Manual coordination was chewing up hours. 
    • With Marketing outsourced, they didn't have the visibility of which individual people were interacting with the efforts.

We built a scalable, fully integrated system in HubSpot that supports how Red Umbrella actually works.

    We implemented a comprehensive sales pipeline for Red Umbrella, featuring automated lead nurturing and follow-up sequences.

    We integrated Xero to streamline quoting and invoicing, introduced trackable, templated communications, and deployed instant branded quoting tools providing the team with full visibility across the entire sales process, from lead to closed-won.

    Care Coins Made Scalable

    We transformed Care Coins, Red Umbrella’s prepaid wellbeing currency, from a manual spreadsheet into a scalable solution.

    We built a custom HubSpot object, a dedicated pipeline to track sales, usage, and redemptions, gave the sales team full visibility of client balances, and enabled automation to link Care Coins with training delivery.

    Training Delivery On Autopilot

    Manual scheduling and follow-ups were slowing things down, so we replaced them with a fully automated process in HubSpot.

    Courses are created at the point of sale, comms go out automatically, and certificates are issued and tracked, freeing the team up to focus on delivery, not admin.

    We customised HubSpot’s native Courses object to fit Red Umbrella’s delivery model, rolling out a tailored training pipeline with custom Supered cards, cross-object automation between sales, training, and Care Coins, and a process HubSpot reps now showcase as a standout use case.
