HubSpot navigation, account and billing: finding tools, subscriptions and support

Learn how to navigate HubSpot, find key tools, review account and subscription information, manage billing access and get support.

HubSpot brings CRM, marketing, sales, service, content, automation and reporting tools together in one platform.

Understanding how HubSpot is organised will help you find the tools, records and account information you need. It is also useful to know where to review your organisation’s subscriptions, billing activity and available support.

The tools and options visible to you depend on your organisation’s HubSpot subscriptions, assigned seat and user permissions.

Navigating HubSpot

HubSpot’s navigation is organised around different business functions and platform tools.

The navigation sidebar may include areas such as:

  • CRM
  • Marketing
  • Content
  • Sales
  • Revenue
  • Service
  • Data management
  • Automations
  • Reporting
  • Breeze

The exact options displayed depend on the products included in your subscription and the permissions assigned to your user account.

HubSpot’s top navigation bar also provides access to commonly used features, including:

  • Global search
  • Quick Create
  • Help and support
  • Settings
  • Notifications
  • Breeze Assistant
  • Your account menu

If a tool is not visible, this does not necessarily mean it is unavailable across the whole account. It may be located under More, excluded from your subscription or hidden because your user does not have the necessary permissions.

Using HubSpot’s global search

Global search helps you find information across your HubSpot account without navigating through each area individually.

Depending on your access, you may be able to search for:

  • Contacts, companies and other CRM records
  • Deals and tickets
  • Tasks
  • Marketing assets
  • Workflows
  • Reports and dashboards
  • HubSpot tools, settings and learning resources

Search becomes increasingly useful as your account grows and contains more records, assets and configured tools.

Using bookmarks

Bookmarks provide quick access to the HubSpot tools you use most frequently.

You might bookmark:

  • A dashboard you review regularly
  • A CRM record page
  • A frequently used marketing or sales tool
  • An area of Settings you are actively configuring

HubSpot currently allows users to save up to ten secondary navigation items in the Bookmarks menu. Bookmarks can also be reordered or removed when your priorities change.

Understanding your HubSpot account and subscription

The Account & Billing area contains information about your organisation’s HubSpot products, subscriptions, usage and billing arrangements.

To access it, select your account name in the top-right corner of HubSpot and choose Account & Billing.

What you can view or change depends on your permissions. HubSpot requires Billing admin permissions for billing-related changes.

Reviewing subscriptions and account limits

Authorised users can use the Account & Billing area to review information such as:

  • Current HubSpot subscriptions and add-ons
  • Subscription terms and billing frequency
  • Available and assigned seats
  • Marketing contact limits
  • HubSpot Credits usage
  • Monthly email send limits, where applicable
  • Upcoming billing dates and associated payment methods
  • Account contracts and billing documents

This information can help administrators understand which HubSpot products the organisation has purchased and whether usage is approaching any relevant limits.

Some subscription changes may have contractual or financial consequences. Your organisation should ensure that only appropriately authorised people make these decisions.

Reviewing billing history

The Billing History tab records important events associated with your HubSpot subscription, including:

  • Orders
  • Invoices
  • Initiated, processed or failed payments
  • Credit memos
  • Refunds
  • Automatic marketing-contact tier upgrades

HubSpot displays billing-history events from the previous four years. Older information may be available through the Transactions tab.

Authorised users can filter the billing history, review individual events and download available documents.

Managing billing details and payment methods

Users with the appropriate billing permissions may be able to add or update payment methods and maintain billing details.

Because these settings affect your organisation’s payments and subscriptions, access should be limited to authorised users. Your organisation remains responsible for approving payment methods, billing contacts, subscription changes and contractual decisions.

Getting help with HubSpot

HubSpot provides help and support options through the help icon in the top navigation bar.

The resources available depend on your HubSpot subscription and may include:

  • HubSpot Knowledge Base articles
  • HubSpot Community
  • HubSpot Academy
  • Support options available under your subscription

When requesting help, provide enough information to explain the issue, but do not share passwords, payment-card information or other sensitive credentials.

What to remember

You do not need to learn the location of every HubSpot tool immediately. Start by becoming comfortable with:

  • Moving between the main areas of HubSpot
  • Using global search to find records, tools and settings
  • Bookmarking frequently used tools
  • Finding your organisation’s subscription and usage information
  • Understanding which actions require billing permissions
  • Knowing where to access HubSpot help and guidance

These fundamentals will make it easier to work confidently in HubSpot as your responsibilities and use of the platform grow.
