HubSpot email and calendar connections: logging communications and scheduling meetings

Connect your work email and calendar to HubSpot while managing logging, tracking, meeting availability and communication privacy.

Connecting an individual work email and calendar to HubSpot allows users to work with customer communications and meetings alongside CRM records.

Depending on the connection and configuration, users can:

  • Send one-to-one emails from HubSpot
  • Log emails and replies against CRM records
  • Track supported email opens and link clicks
  • Use HubSpot sales tools within Gmail or Outlook
  • Schedule meetings based on calendar availability
  • Add booked meetings to connected calendars
  • Keep relevant communication history visible to colleagues

Email and calendar connections should be configured carefully because they can give HubSpot access to business communications, calendar information and related account data.

Individual email and team email connections are different

HubSpot distinguishes between an individual work email and a team email address.

An individual work email belongs to one user, such as firstname.lastname@company.com. It is connected so that the user can send, log and track one-to-one emails and use supported sales tools.

A team email address is shared by several people, such as sales@company.com or support@company.com. Shared addresses should normally be connected to the conversations inbox or help desk so the team can manage messages together.

The same email address cannot be connected as both an individual work email and a team email.

Connecting an individual work email

An individual work email connection can support:

  • Sending one-to-one emails from CRM records
  • Logging outgoing emails and replies
  • Tracking supported opens and clicks
  • Sending sequence emails where available
  • Using email templates, snippets and documents
  • Accessing HubSpot sales tools from a supported email client

The account should be unique to the user and should normally be the business email address they use to communicate with contacts.

Supported connection methods include:

  • Google or Gmail
  • Microsoft 365 or Outlook
  • Supported on-premises Microsoft Exchange
  • Other compatible providers using IMAP and SMTP

The exact functionality and technical requirements vary by provider.

Users need the appropriate personal email access permission. Users with a View-Only Seat cannot connect an individual work email.

What connecting an email account allows HubSpot to access

The permissions granted depend on the email provider and connection method.

A supported Gmail or Microsoft 365 connection can allow HubSpot to access information needed to send, log and track emails. This can include:

  • Email addresses
  • Headers
  • Subject lines
  • Message bodies
  • Replies
  • Distribution lists
  • Attachments
  • Tracked link information
  • Related calendar information

Users should review the permissions shown during connection rather than approving them without consideration.

Logged correspondence can become visible to other HubSpot users who have access to the associated CRM records. Your organisation should therefore define which communications may be logged and who should be able to view them.

Logging and tracking are different

HubSpot uses logging and tracking for different purposes.

Email logging

Logging saves an email as an activity on associated CRM records.

A logged email can help authorised users understand:

  • What was sent
  • Who sent it
  • Who received it
  • When it was sent
  • Whether a reply was received
  • Which contact, company, deal or ticket it relates to

Logging supports shared CRM history and team collaboration.

Email tracking

Tracking monitors supported engagement with an email.

Depending on the recipient’s email client, privacy settings and consent status, HubSpot may report:

  • Email opens
  • Link clicks

Tracking can generate activity notifications for the sender, subject to their notification settings and available HubSpot functionality.

Tracking does not guarantee that a person read or understood the message. Open tracking can also be affected by image blocking, privacy protection, automated security scanning and forwarding.

Tracking information should therefore be treated as an engagement signal rather than definitive evidence of recipient intent.

Choosing what to log

Not every email should automatically be stored in the CRM.

Before enabling logging by default, consider whether messages could contain:

  • Internal discussions
  • Personal information
  • Employee matters
  • Legal advice
  • Financial information
  • Health or other sensitive information
  • Communications unrelated to the customer relationship

Users should check which records an email will be associated with before sending it. An email may otherwise be logged against an unrelated company, deal or ticket.

Your organisation should establish clear email-logging rules rather than leaving each user to make inconsistent decisions.

Excluding emails and domains from logging

HubSpot’s Never Log list can prevent emails involving specified addresses or domains from being saved to the CRM.

It can be used for addresses or domains such as:

  • Your own organisation’s internal domain
  • Personal contacts
  • Legal advisers
  • Healthcare or employee-support providers
  • Other recipients whose communications should not be stored in HubSpot

When an address or domain is on the Never Log list, relevant email activity is not saved to CRM records and tracking activity does not appear on the contact timeline.

Exclusions can be managed at user or account level, depending on the setting and permissions available.

Review the list regularly, especially when domains, suppliers or organisational policies change.

Email signatures

HubSpot allows users to configure a signature for one-to-one emails sent from the CRM.

A signature can include supported details such as:

  • Name
  • Job title
  • Organisation
  • Telephone number
  • Website
  • Approved branding or legal information

The HubSpot CRM signature is separate from the signature configured within Gmail or Outlook.

Teams should follow their organisation’s approved formatting and content standards. Users should also test the signature by sending an email to an internal test address before using it with customers.

Sales notifications

Users can configure notifications for supported sales activity, including tracked email engagement.

Notifications can be delivered through channels such as:

  • HubSpot’s notification centre
  • Browser notifications
  • Email
  • Pop-up notifications
  • The HubSpot mobile application

Available notifications depend on the user’s subscription, seat, permissions and configuration.

Enable notifications that support a genuine follow-up process. Excessive alerts can create noise and make important activity harder to identify.

Email opens and clicks should not automatically trigger inappropriate or overly immediate contact. Teams should agree how engagement signals will be interpreted and used.

Connecting a calendar

A supported calendar connection allows HubSpot to use calendar availability and synchronise supported meeting information.

A user can connect one Google, Microsoft 365 or supported Exchange calendar to the meetings tool.

Depending on the provider and configuration, a connected calendar can allow users to:

  • Display availability through scheduling pages
  • Prevent bookings over existing calendar events
  • Add booked meetings to organiser and attendee calendars
  • Synchronise meetings created in HubSpot
  • Associate supported calendar events with CRM contacts
  • Prepare for meetings using relevant HubSpot tools

A connected calendar is required for a scheduling page that displays live availability and accepts automatic bookings.

Without a connected calendar, a scheduling page can operate in offline mode, allowing visitors to request a meeting without HubSpot automatically checking availability or adding the booking to the calendar.

Calendar limitations

Calendar behaviour varies by provider.

Google Calendar and Microsoft 365 support broader synchronisation than an on-premises Exchange calendar.

For example, Exchange does not support the same bidirectional synchronisation:

  • Meetings created from a CRM record are not added to an Exchange calendar
  • Meetings created in Exchange do not synchronise to HubSpot as calendar events
  • Some rescheduling and proposed-time functionality is unavailable

Review the current provider-specific documentation before relying on a particular calendar behaviour.

A shared inbox connected to the conversations tool cannot also be used as an individual calendar connection for the meetings tool.

Scheduling pages

HubSpot’s meetings tool allows eligible users to create scheduling pages that contacts can use to book time.

A scheduling page can include settings such as:

  • Meeting duration
  • Available times
  • Minimum notice
  • Buffer time
  • Meeting location
  • Video-conferencing details
  • Questions for the person booking
  • Confirmation and reminder settings

Availability is based on the connected calendar and the scheduling page’s configured working hours.

Before sharing a scheduling link, test:

  • Available time slots
  • Time zone handling
  • Meeting duration
  • Calendar invitations
  • Video-conferencing links
  • Confirmation messages
  • Reminder emails
  • CRM record creation or association

The availability of individual, group and round-robin scheduling pages depends on the user’s HubSpot subscription and seat.

Using HubSpot from Gmail or Outlook

HubSpot provides tools for accessing supported sales features directly from an email client.

Gmail

Gmail users working in Google Chrome can install the HubSpot Sales Chrome extension.

Depending on permissions and configuration, the extension can provide access to features such as:

  • Email logging and tracking
  • CRM contact information
  • Templates
  • Documents
  • Snippets
  • Meeting links

Outlook

Microsoft 365 users can use the HubSpot Sales Office 365 add-in with supported versions of Outlook for Windows, Mac and the web.

HubSpot’s older Outlook desktop add-in is in maintenance mode and is no longer being actively developed. Where possible, Microsoft 365 users should use the Office 365 add-in.

Do not install conflicting HubSpot Outlook add-ins on the same device.

Your organisation’s IT administrator may need to approve or deploy browser extensions and Microsoft 365 add-ins.

Associations with CRM records

When logging an email or meeting, check the records with which it will be associated.

Relevant associations might include:

  • The contact
  • The contact’s company
  • An active deal
  • A support ticket

Association defaults can save time but may also cause information to be logged more widely than intended.

Review defaults and confirm sensitive correspondence is not being attached to inappropriate records.

Privacy and governance

Email and calendar connections involve personal communications and scheduling information.

Your organisation should decide:

  • Who may connect an individual inbox
  • Which email providers and add-ins are approved
  • Which emails should be logged
  • Which recipients and domains should never be logged
  • Whether email tracking is appropriate
  • Who can view logged communications
  • How sensitive information should be handled
  • How connections are removed when a user leaves
  • How long communication data should be retained
  • How privacy and employee-monitoring obligations will be met

HubSpot provides connection, logging and tracking controls. Your organisation remains responsible for deciding how those controls should be configured and used.

Testing your setup

Before relying on an email and calendar connection, test the complete experience.

Confirm that:

  • Emails can be sent from HubSpot
  • Selected emails log against the correct records
  • Replies appear as expected
  • Never Log exclusions work
  • Tracking behaves as expected
  • The CRM email signature displays correctly
  • Calendar availability is accurate
  • Test bookings appear in the appropriate calendars
  • Meeting invitations contain the correct details
  • Notifications are useful and not excessive
  • Other users see only the information they are authorised to access

Testing should use internal or approved test recipients rather than live customers.
